When you complete a membership application certain personal information is collected from you (for example: your name, email address, member status).

When you complete a swim application additional personal information is collected from you (for example: you name, age, occupation, nationality)

All such information is held securely by The Channel Swimming Association which endeavours to comply with all applicable Data Protection and consumer Regulations, and will treat all your personal information as confidential. The use of this data is explained below.

We may change this policy from time to time by updating this page and will notify you accordingly.

WHAT WE COLLECT

We may collect the following information for membership application:

  • Nationality
  • Email address
  • Telephone Number
  • Gender
  • Age, Date of birth
  • Club/Team Name

We may collect the following data for a swim application

  • Name and surname
  • Nationality
  • Email address
  • Telephone Number
  • Gender
  • Age, Date of birth
  • Club/Team Name
  • Age
  • Swim history
  • Swimming club
  • Doctors medical report
  • Qualification swim details
  • Contact details may be shared as necessary with the coastguards

WHAT WE DO WITH THE INFORMATION WE GATHER

We require this information to understand your needs and provide you with a better service and, in particular, for the following reasons:

  • Internal record keeping.
  • Monitoring and checking of the necessary requirements for channel swimming
  • To improve our products and services.
  • We may use your contact details to get in touch with you in the normal business of managing a swim
  • We may share your contact details with your swim observer
  • We may periodically send newsletters, results or other information which we think you may find interesting using the email address which you have provided.
  • From time to time, we may also use your information to contact you for market research purposes. We may contact you by email.
  • We may use the information to customise our service and website according to your interests.
  • Information that we may share in the interests of publication of swim results
    • Name of swimmer.
    • Date of swim.
    • Swimmers preferred Nationality.
    • Swimmers local town/city.
    • Age at time of swim.
    • Start.
    • Time of swim.
    • Stroke.
    • Record if set.
    • Relay name.
    • Name of swimmers in a relay team.
    • Type of relay swim.
    • Category of the swim
    • Other information as covered in the ‘Handbook’.
    • Company official name.
    • Company official position.

CONTACT POLICY

We would like you to receive news and offers about the channel swimming association. We do this in various ways including email, post, SMS, phone and social media but only if you would like to receive our communications.

Your privacy is very important to us which is why we make sure you’re always in control of what we do with your personal information.

This is our simple contact promise:

  • We will never pass your personal details to any third party other than our data processors
  • We will only use your details to conduct necessary communications in the course of channel swimming.

We will make sure our contact with you is relevant based on the information you give us.

Our procedures to manage data retention is to retain membership data for only whilst the membership is active. Membership data will be reviewed on an annual basis.

Swim records and results and observer reports will be kept indefinitely in the interests of historical documentation

Changes to the Policy

We reserve the right, at our sole discretion, to modify, add or remove sections of this privacy policy at any time and any changes will be notified to you using the email address you have given us or by an announcement on the webpage available at the “Privacy Policy” link.
